ASCEND REAL ESTATE MEDIA
Privacy policy
Effective October 24, 2026. This policy covers Ascend Real Estate Media’s website, agent app and connected admin services. Contact [email protected] with privacy questions.
Information we use
When you create an account, we use your name, email address, account identifier and sign-in credentials to provide and secure your account. You may add your phone number and brokerage. We use property addresses, optional unit numbers, square footage, occupancy, selected services, appointment times, access instructions and comments to quote, schedule and complete your shoots. Please provide only information you are authorized to share.
We maintain orders, invoices, payment status, service communications and delivered property photos, videos, tours and floor plans. Stripe processes payment details on its checkout page; Ascend stores payment references and invoice status, not full card numbers. Our hosting and service providers may process IP addresses, request metadata and security or error logs when you connect.
Optional voice and AI ordering
Microphone access is optional. On supported Android builds, Whisper transcribes recording audio on your device. The browser preview also uses local Whisper transcription. Ascend’s voice-ordering backend receives text, not the raw microphone recording. Temporary audio, transcripts, drafts and downloaded media may exist on your device while you use these features.
When you choose guided AI ordering, the transcribed or typed answers, booking draft and recent conversation are sent through Supabase to Groq, or Google Gemini if the primary provider is unavailable. Cloudflare Workers AI may be used if configured. These providers interpret your booking details; you review the order and explicitly confirm before a booking is submitted. AI can make mistakes. You can use the manual order form instead.
AI providers’ own terms and retention rules also apply. In particular, Google’s unpaid Gemini API terms allow submitted content and responses to be used to improve its products and reviewed by people. Do not include confidential personal information, passwords or door/security codes in the AI conversation. Put necessary access instructions in the manual form instead. See Groq’s data practices and Gemini API terms.
Scheduling, maps, weather and media
Address search and map previews send the property search or selected location to Google Maps Platform. Forecasts use rounded property-area coordinates with the US National Weather Service; we do not request your phone’s GPS location for this feature. Calendar integration checks the photographer’s availability and creates or changes booking events, including service and property information. Agents do not need to connect their personal calendars.
Delivered media may be stored using Supabase or an authorized storage provider. Google Drive is currently an administrator-only storage test. Vimeo video and Zillow tour content may be opened or embedded when you choose them; these services receive normal connection information and apply their own privacy policies. Public portfolio and sample media are distinct from private customer deliveries.
Who receives information
Ascend’s authorized administrator uses your details to fulfill and support orders. We use Supabase for authentication, database, private media and server functions; Cloudflare and Expo for hosting, builds and app updates; Resend for account and order emails; Stripe for payments; and the mapping, calendar, weather, media and AI services described above. An assistant you explicitly authorize through our admin connection can access the permitted client and order information. We may disclose information where required by law or to protect rights, prevent fraud and secure our services. We do not sell personal information or use the app for advertising tracking.
Your device and security
We use HTTPS for our app and website services, authenticated access controls and server-side credentials. Your device stores sign-in sessions, preferences, cached data and optional downloads. Expo’s update service receives an installation identifier and app/platform version information to deliver updates. Microphone permission is used for voice ordering; photo-library permission is used when you choose to save delivered media. You can change these permissions in your device settings. No system can guarantee complete security. Keep your device and account credentials secure.
Retention and account deletion
We keep account and service information while needed to provide the service, fulfill orders and manage business records. You can request deletion from Profile → Privacy & account in the app, or our account deletion page. You can also email us from your account address. We verify ownership and review requests manually; submitting a request does not immediately delete the account. We will contact you about completion or any records we need to retain.
Deletion covers your sign-in account, profile and associated personal data that we no longer need. Limited invoices, transaction, fraud-prevention, dispute or legal records may be retained where required or justified; we will explain any applicable exception. Copies in backups and provider records may remain until their normal retention periods expire. Your downloaded files and copies held by others are not remotely erased. Account deletion does not itself cancel a booked shoot, settle an invoice or revoke rights to media already delivered.
Your choices
You can update your profile, use manual ordering instead of AI, revoke optional permissions, sign out, and contact us to request access, correction or deletion of personal information. The service is intended for adult real estate professionals and is not directed to children under 13. We will update this page and its effective date when practices change, with additional notice where appropriate.
